How AutoPoster works
Every post goes the same way: written, checked against your brand's rules, approved by a person, then published at its time. Here is each step, including the parts that are easy to miss.
Zawaaj's own Instagram and Threads run on AutoPoster.
Every post says where it stands.
Instagram, Threads and LinkedIn posts sit in one list, by day and time. Each one says where it stands in plain words, and your whole team works from the same list. It updates the moment someone acts.
Every time in the queue reads in the workspace's time zone, for everyone on the team. Set it once in Settings.
- You, in LondonThursday 09:30
- A teammate, in New YorkThursday 09:30
- Draft
- Written, not yet through the checks, or sent back by them.
- Fix it, and it goes through the checks again.
- Needs review
- Passed the checks. Waiting for an admin.
- An admin approves it. An edit sends it through the checks again.
- Queued
- Approved. Waiting for its time.
- It goes out at its time. An admin can pull it back to review.
- Publishing
- Going out now.
- It becomes published, or failed with the reason.
- Published
- The platform accepted it.
- To take it down, delete it on the platform.
- Failed
- The platform refused it, or the account's access had run out.
- The reason goes on the record, for everyone to read.
Your rules, checked on every draft.
Write down once how your brand sounds: words you never use, the call to action every post needs, how many hashtags is too many. Each brand in a workspace can have its own. Each platform adds its own limits: caption length, whether a post needs an image, alt text.
A draft that fails comes back with the reason, not a warning. And an edit sends a post back through every check, even one that already passed: nothing reaches the queue on the strength of a check it no longer passes.

The oatmeal mugs are out of the kiln, so hurry.
Sent back: 1 thing to fix
- Remove off-brand words: hurry
- No em dashes
- Has a call to action
- Caption present
- Caption 137/2200 chars (incl. hashtags)
- 1 media attached
- Alt text on every image
- 2 hashtags (5 or fewer works best)
- IMAGE is a valid Instagram format
- Hook fits the 125-char preview
Approving is the step that counts.
Only an admin can approve. Approving hands the post to the scheduler, which publishes it at its time with no further question, even days later with nobody watching. Changed your mind? Pull it back to review any time before it goes out.
Each approval is recorded with a name, a time and where it came from: the dashboard, an AI assistant or the API. Everyone in the workspace can read the record. Nobody can edit or delete it, admins included.
Can I approve a post whose time has passed?
No. It would go out the moment you approved it. Move it to a new time, or use Publish now on purpose.
Warned two weeks before access runs out.
Each morning, a short note: what goes out today and what is waiting for review.
Platform access runs out. AutoPoster warns you two weeks ahead and keeps warning until you reconnect. If access does run out, that account's posts fail instead of going out late, and the failure goes on the record.
14 days before
Expiring soonThe first warning: a banner in the app and a push to your devices.
Every day after
Expiring soonThe warning comes back each day until someone reconnects.
The day it runs out
FailedThe 09:30 post fails. It never goes out late.
After you reconnect
ConnectedThe warnings stop. Scheduled posts go out again.

AutoPoster could not publish the wholesale post on LinkedIn. The account's access had run out.
FailedThursday at 09:30, on schedule
AutoPoster warned the workspace: LinkedIn @wrenhollow access ends in 1 day.

Your AI assistant works inside the same rules.
Connect ChatGPT, Claude, Claude Code, Codex or Cursor, and your assistant can read your queue, your rules and your numbers, draft posts, and run them through the same checks you do.
It signs in as you. It sees only your workspaces, it can't approve anything you couldn't, and everything it does is recorded as you, through an AI assistant.

Your accounts, and your files.
When you connect an account, the platform lets AutoPoster publish as it and read its own post numbers. That access is stored encrypted, and you can revoke it from the platform or from Settings whenever you like.
Instagram and Threads renew their access on their own. LinkedIn can't, so it needs a reconnect every couple of months. You are warned before it lapses.
Instagram and LinkedIn publish by fetching your image or video from a web address, so each upload gets a long, random, public link. Don't upload anything that must stay private.
What happens to a file when I delete its post?
The post goes; the file stays on AutoPoster's media host and its link keeps working. There is no way to delete uploads from the app yet. Ask an admin if a file needs to be removed.
What isn't built yet
- Image and video generation. AutoPoster writes and checks words; bring your own images and videos.
- A media library to browse or reuse past uploads.
- Comments, mentions or approval requests on a post.
- LinkedIn post numbers. Instagram and Threads report theirs; LinkedIn doesn't for personal profiles.
